Send contract
How do I send a contract?
1. Go to the home page
Click the pencil and “create signing”.

2. Select the contract type

3. Attach the PDF to be signed
Click on the cloud or drag and drop your PDF to the cloud.

4. Enter a contract name
The agreement is automatically given the name of the file. Which you can change in the box at the top. Click on the name and write the suggested counterparty and then what it concerns, for example. “Supplier AB – Service X”

- Making it easier to search for contracts
- It will be easier to get an overall picture of the agreements
5. persons to sign (parties)
Search for an existing person you have saved in the register or add a new person.

You can also control the deadline for signing and a reminder that is sent out automatically.
If you add a new party, fill in:
- First and last name
- Whether the person should Approve or Sign
- The order of signing (sequence)
- Type of signing, BankID or PIN code via SMS. If using PIN code via SMS, you also need to provide a phone number.

You can also add a comment that will be visible in the email inviting you to sign.
If the same person needs to sign multiple times, click “Save to Address Book” to save their information.
6. Send contract for signing
Check that the information is correct and click “SEND” to send the agreement for signing. You can also choose to save the agreement to send for signing at a later time. Or add additional PDFs if you wish.

Once the agreement is sent, it is possible to change the details of the signing parties and send reminders. Click on the name to open a menu with options.

Follow the agreement through the signing cycle
Now you can see what is happening with the contract. If the counterparty has opened the contract, signed or entered a comment. Click on the name to bring up these activities. The user who has sent out the agreement for signing also receives an email if there is an activity.

Find signed agreements
On the Homepage, you can click “SIGNING” to see all agreements that are in Processing, Returned, Sent, or Signed. These are sorted by status and agreement type.

They are sorted by contract type and the search box allows you to search by name to find the list.
There is also the option directly on the Homepage to click “MY SIGNINGS”.

Returned contracts
Returned contracts are contracts that have been sent back without being signed. Usually with a comment explaining why. To view the comment, click on the agreement and the party’s name.

To add a new comment, click on the name and write the comment. If you want to change the PDF, click “REPLACE PDF” at the bottom.

Email messages
Email messages are standardized with your company name. Notify QNOVA if you want to change the logo or name.

When a contract is returned with a comment, it looks like this:

Signing methods
There are two different options, signing with BankID or with a PIN code via SMS. Both options mean that the counterparty receives an email with a link to the agreement. To open the link, either a verification with BankID or the PIN code via SMS is needed. The counterparty then has access to the contract and can sign or return it.

If the agreement is to be signed with BankID, the counterparty must sign with BankID, which determines the BankID signing method. With a PIN code, the party has already been validated and can simply click “Sign.”
Descriptions
Contract name
The name should be reasonably clear. Recommendation is to write a short explanation. This is because it facilitates the overview on the Home page and when searching for agreements. QNOVA suggests counterparty and then in the case of e.g. “Supplier AB – Service X”
Authorizations
Permissions are controlled based on contract type, please contact QNOVA if you need help.
